DDA Management / Updates

The Annual EBSCO DDA Update entails the following: 

  1. Selectors are asked to choose titles for the upcoming year's DDA collection, and are given a deadline for submissions.
  2. Selectors can create lists in the ECM and download the spreadsheet with all titles, then send the spreadsheet to the e-res librarian. 
  3. Check to ensure the titles you are submitting are eligible for DDA (not all titles are). 
  4. Selectors can also choose titles from the previous year's DDA.
    • The e-res librarian will provide a spreadsheet with existing titles in the DDA so they can be chosen again by selectors.
    • Selectors can copy and paste the titles they want submitted again into their spreadsheet(s) before submitting selections to e-res. 
  5. The e-res librarian will combine all spreadsheets, dedupe, and provide the newly selected DDA titles to EBSCO ebook support; asking them to clear out all existing DDA titles, and to import the new list. 
  6. Once EBSCO completes the update, the e-resources librarian will download all MARC records and provide the spreadsheet of new DDA title selections, with MARC records, to the Technical Services librarian. 
    • at this time, e-res will notify the Technical Services librarian of any missing MARC records. 
  7. The Tech Services librarian will import all titles and notify Ref of any issues (e.g. duplicates, missing MARC record, etc). 
    • The tech services librarian can generate a MARC record upon request, in the event EBSCO cannot provide one. 
  8. E-res librarian notifies Ref when the update is complete and the DDA titles are accessible in Alma. 

After the update:

  1. The e-res librarian will update Ref as titles are triggered. 
  2. Triggered titles become part of our perpetual collection and are moved by the e-resources librarian from the EBSCO DDA collection, to the EBSCOhost eBook Collection in Alma. 
    • E-res librarian updates the perpetual ebooks list in the Ref share, and updates the budget of remaining funds in the deposit account. 
  3. Occasionally, it would be good to check with EBSCO accounting on the balances, since there have been inconsistencies noticed at times, where the remaining balance on account statements does not match internal tracking. 

Adding one-off DDA Titles outside the annual Update: 

Please let the e-res librarian know if you want to add titles outside the major batch upload. While it would be difficult to do large batches, small requests are fine (just like how ebooks can be ordered outside the ordering cycle). 

Timeline Summer 2023

July 17th, Selectors submit no more than 75 titles per subject by 11:59 p.m. on July 17th.

  • LESS is fine.
  • Specific faculty-requested titles do not count against the 75 limit

Week of July 17, e-res submits the list to EBSCO ebook support, deletes all portfolios in Alma. 

Week of July 17 or 24: Once EBSCO completes the job, e-res downloads MARC records and provides to tech services. 

Week of July 24th: Tentative start for tech services to begin import

  • Tech services completes the import, addresses any issues.
  • e-res notifies Ref, addresses any issues. 

July 31st: ideally update will be complete (with possible exceptions for specific titles).  

About

The EBSCO DDA (Demand Driven Acquisition) collection is managed within EBSCOhost Collection Manager (ECM) by the e-resources librarian. The library has a separate DDA deposit account that was first established in 2019. The collection was named 2019-04_CHOICE_OAT_DDA, and was comprised of 2,050 titles. 

Initial configuration allowed one-day loans (at a 1-day loan cost) for triggers, where a purchase was generated for the 1U access license after two loans/triggers. In June 2020, the DDA parameters were updated to purchase titles upon their initial trigger after consensus amongst the Ref team via emailed communications. All 2,050 titles were changed from 1 day loan to 1U copies.

Moving forward, DDA titles were given a little more flexibility where the selector could choose the access model they wanted when submitting titles for the DDA list. It is highly recommended to go with the 1U or Non-Linear (NL) / cheaper option, since eBooks with high usage and turnaways can be upgraded later in most cases.
